SmileWay collects information necessary for the operation of the platform, including clinic details, user account information, patient records, appointment data, and transaction records. Clinics may also upload documents for verification purposes.

SmileWay implements appropriate technical and organizational measures to protect user data against unauthorized access, loss, or misuse. Sensitive documents submitted during registration may be securely stored using external services, while system data is maintained in a structured database.
SmileWay does not sell or share user data with third parties except when necessary for system functionality (e.g., secure storage services) or when required by law. Patient data is only accessible to authorized clinic personnel.
Dental clinics are responsible for ensuring that patient data entered into the system is accurate and handled in accordance with applicable data privacy regulations. Users must keep their login credentials secure.
User data will be retained only for as long as necessary to support system operations and comply with legal requirements.

By registering a clinic and accessing or using the SmileWay platform, you agree to the following terms:
SmileWay is a digital platform that connects dental clinics and patients through an integrated web-based management system and a mobile application.
All information provided during registration must be true, accurate, and complete. This includes clinic details, owner information, contact information, and all required documents.

All submitted documents must be legitimate, up-to-date, and owned by the registering clinic or authorized personnel.
All registration requests are subject to review and verification by SmileWay administrators. SmileWay reserves the right to:
Submission of false, misleading, or fraudulent information may result in:
Clinic owners are responsible for managing their accounts, including the creation and control of staff access within the web system. All users must maintain the confidentiality of their login credentials.
SmileWay offers subscription-based plans (Starter, Basic, and Pro) that define system access, features, and limitations, including but not limited to the number of users, patient records, and customization options. Clinics agree to use the platform in accordance with the selected subscription plan.
Clinics may upgrade or downgrade their subscription plans at any time. In the event of a plan downgrade, the limitations of the new plan will take effect after the current billing cycle.
Clinics are responsible for ensuring that their stored data complies with the limitations of the downgraded plan. This specifically includes patient records and related patient information stored within the system. A grace period of up to one (1) month may be provided to allow clinics to download, export, or manage any patient records that exceed the allowed limits of the new plan.
Failure to take the necessary actions within the given period may result in restricted access, removal, or inaccessibility of excess patient records. SmileWay shall not be held liable for any data loss or inaccessibility of patient records resulting from the clinic’s failure to manage or download such data prior to the downgrade taking effect.
In the event that a clinic chooses to cancel or discontinue its subscription plan, the following terms shall apply:
SmileWay shall not be held liable for any data loss, incomplete records, or failure to receive the data due to incorrect or inaccessible email information provided by the clinic.
Clinics must ensure that all patient information, records, and transactions entered into the system are accurate and up to date. Clinics are also responsible for maintaining the confidentiality of patient data and ensuring that access is limited to authorized personnel only.
SmileWay administrators reserve the right to review clinic registrations, verify submitted documents, and suspend or terminate access in cases of misuse, submission of false information, or violation of platform policies.
SmileWay aims to provide continuous access to its services; however, temporary interruptions may occur due to system maintenance, updates, or unforeseen technical issues.
SmileWay functions as a platform connecting dental clinics and patients and does not assume responsibility for the quality of dental services provided by participating clinics.
By submitting the clinic registration form and using the SmileWay platform, the clinic acknowledges that it has read, understood, and agreed to these Terms and Conditions.
